This interim notice describes how Cognizance Caribbean handles information submitted through the public website and discovery flow.
When you submit an enquiry, we collect the information in the form, which may include your name, email address, phone number, WhatsApp number, country, enquiry type, organisation, role or title, solution interest and message.
When you start a discovery conversation, we collect your name, email address, phone number, WhatsApp number, country, organisation category, organisation activities and challenge statement. Follow-on responses, session references and findings generated during the conversation may also be recorded.
Our hosting and application services may process technical information needed to deliver and protect the site, such as IP address, browser and device characteristics, request data and error or security logs. The current site does not intentionally deploy advertising or optional analytics tracking.
Please do not submit passwords, payment-card details, government identifiers, health information or other sensitive personal information through the public forms unless Cognizance has specifically requested and enabled a suitable process.
We use contact submissions to respond to your request, assess the relevant Cognizance capability and coordinate follow-up.
We use discovery information to create and operate your discovery session, generate structured findings, provide the session experience and route a completed intake for follow-up.
Discovery responses may be processed by configured AI services to ask follow-on questions and produce structured signals or draft findings. AI output is not a final assessment, and formal advisory work remains subject to the applicable engagement process.
Where follow-up is requested or appropriate, a member of our team may manage the resulting intake through the authenticated Agent Portal. The portal is an internal operational client; it does not create a separate discovery system or replace the applicable privacy and engagement terms.
Information may be made available to Cognizance personnel who need it to respond to your enquiry, manage an intake, operate discovery or provide an agreed service. Access should be limited to the relevant operational need.
We may use hosting, application, storage, communications, security and AI service providers to operate the public website and discovery service. They may process information only as necessary for the service and under applicable contractual and security controls.
We may disclose information where required by law, legal process, protection of rights, prevention of fraud or abuse, or protection of the safety and security of our services and users.
We do not sell personal information or use discovery content for advertising. We do not permit service providers to use submitted discovery content for their own unrelated purposes.

The applicable schedule is being formalised before production launch.
The public discovery flow stores a session token and related progress in browser session storage. This data may be lost when the session ends or storage is cleared; it is not a promise of a permanent account or archive.
You may ask us to access, correct or delete personal information through the website contact form. We may need to verify the request and may retain information where required by law, security needs or an engagement agreement.
We implement appropriate technical and organisational security measures to protect your information against unauthorised access, disclosure, alteration or loss. Our security practices are reviewed regularly.

The discovery flow uses browser session storage to keep temporary progress and a session token while you use the flow. Clearing browser storage, closing the session or changing browsers may remove that local access information.
